Baobab Health Trust (BHT) is a non- governmental organization specialised in the the improvement of health care using appropriate Information and Communication Technology suitable for resource constrained environments. We work closely with the Malawi Government through the Ministry of Health and Population to install Electronic Medical Record Systems (EMRs) in the country’s health facilities. A point of care solution tightly coupled to care processes is proposed as the information resource for health care providers as patients are being examined. The point of care clinical touchscreen workstation has embedded treatment protocols and simultaneously collects data that can be accessed and analysed quickly.

We are currently looking for suitably qualified, motivated, hardworking and enthusiastic individuals of Malawi origin to fill the positions below on fixed renewable contract.

1. Finance and Administration Lead (1 x Position) – Blantyre

Our Expectations.

The Incumbent will work closely with the Regional Manager- South and the Director of Finance and Administration in ensuring that the overall financial, administrative and HR processes for the Blantyre Office are adhered to and executed in a very efficient and effective manner. The person will also be responsible for enforcing internal rules and procedures on finance and administration, development of budgets and financial reports, ensure that internal finance and administrative processes are followed, manage cash-flows and prepare financial forecasts for the Blantyre office. The role will also involve supply chain management of project equipment and supplies, routine procurement of office consumables, office and equipment maintenance, and supervision of finance and administration staff.

Major Duties and Responsibilities

  • Provide sound leadership, guidance and direction in planning, implementation and day-to-day management of the financial resources for the regional office.

  • Maintain high standard financial management and control systems, policies and procedures.

  • Manage cash-flow to ensure that sufficient funds are always available and provide sound warnings in case of unforeseen cash flow deficiencies.

  • Ensure compliance with relevant tax laws, and any relevant mandatory regulations.

  • Coordinate external and Internal audits for the regional Office.

  • Prepare monthly, quarterly and annual management accounts / reports for the regional office; which will be consolidated for submission to donors and BHT Board.

  • Post transactions in the accounting system (maintenance of the general ledger).

  • Prepare bank reconciliations.

  • Maintain the fixed asset register.

  • Lead in ensuring that all insurance claims are filed with insurance companies on time.

  • Lead in ensuring that offices are conducive at all times; this will include making timely payments for utilities (Internet, Telephone etc).

  • Lead in ensuring that all employees at the regional office submit time sheets on time. Prepare and submit time sheets summary reports monthly.

  • Lead in setting and implementing procedures for office security at all times.

Qualifications

Education:

  • Accountancy professional qualification e.g ACCA, CIMA

Knowledge/Skills and abilities:

  • Proficient in use of accounting software packages, knowledge of open source financial software packages is a plus. Excellent knowledge and skills of SAGE accounting package is a MUST.

  • Excellent communication, organizational and reporting skills, team player, high integrity, trustworthy and responsible.

  • Good organization and administrative skills.

  • Excellent attention to detail.

  • Able to work under strict deadlines.

2. Project Accountant (1 x Position)

Our Expectations.

The officer will be reporting to the Finance Manager and assist the Director of Finance and Administration in making sure that the overall financial processes are being followed and executed effectively. The person will be assisting to ensure that internal finance processes are respected, prepare budgets, cash-flow and other financial forecasts of all donor funds.

Major Duties and Responsibilities:

  • Posting transactions in the accounting system (maintenance of the general ledger).

  • Preparation of bank reconciliations.

  • Maintenance of petty cash.

  • Maintenance of the fixed asset register.

  • Detect any negative variances within the budgets and raise a caution for corrective actions.

  • Handle bank withdrawals and deposits.

  • Prepare on-line banking payments for approval.

  • Assist in handling audits e.g submitting supporting documents as requested by auditors.

  • Checking field trips expense liquidations and ensure that any cash not spent is deposited on time.

  • Regularly submit liquidation reports.

  • File supporting documents in logical order.

  • Receive and process all invoices, expense forms and requests for payment.

  • Conduct cash count and reconcile all cash withdrawn from the bank with receipts and cash on hand.

  • Keep up to date information at all times in case of surprise cash counts.

  • General administrative duties as may be assigned from time to time.

Qualifications

Education:

  • At least a Degree in Accountancy, those advancing professional accountancy qualification will have an added advantage

Work experience:

  • At least 3 years of progressive work experience. Those with experience in managing donor funded projects will have an added advantage.

Skills and abilities:

      • Fluency in both spoken and written English and Chichewa languages.

      • Proficient in use of software packages is a MUST.

      • Excellent communication, organizational and reporting skills, team player, trustworthy and responsible.

  • Excellent knowledge and skills of SAGE accounting package is a MUST.

      • Good organization and administrative skills.

      • Excellent attention to detail.

With more than a decade of experience in providing ICT health-care solutions in Malawi, Baobab Health Trust in partnership with the Malawi Government through the Ministry of Health plans to scale up its Electronic Medical Record systems EMRs to 150 more health facilities across Malawi.
The systems targeted for the scale-up include Anti-retroviral Therapy (ART), HIV Testing Services (HTS), Antenatal Care (ANC) and Out Patient Department (OPD).
BHT systems use point of care clinical touchscreen workstations embedded with treatment protocols and simultaneously collects data that can be accessed and analysed with ease.

1. Senior Product Owner – Lilongwe

Duties and Responsibilities:
Coordinate and collaborate with internal and external stakeholders to drive assigned projects.
Serve as a customer advocate in the development of informatics interventions.
Develop, review and document project reports.
Conceptualize informatics interventions in line with the principles of the fundamental theorem of medical informatics to address the business need.
Develop a business case for the proposed informatics intervention.
Gather requirements using contextual inquiry and user-centered design approaches and document them in the form of user stories.
Coordinate with the Software Development team in building the informatics intervention while following agile practices.
Develop the framework for the pilot implementation of the informatics intervention.
Monitor and track progress of the projects in line with the approved roadmap.
Assist the Monitoring and Evaluation Manager in developing a framework for baseline and post-implementation review and impact evaluation.
Give timely updates to the Product Manager on the progress of all assigned projects in respect of BHT’s Enterprise Performance Life Cycle (EPLC) framework.
Develop projects plans and budgets.

Qualifications and Experience

Bachelor’s degree in Computer Science or Information Systems. Those with a Master’s degree in Computer Science, Information Systems or related field will have an upper hand.
At least 3 years of work experience in IT project coordination, systems development and working with internal and external stakeholders.
Experience in IT project management in healthcare is a plus.

Preferred knowledge, skills, and abilities

Demonstrated knowledge of Medical Informatics, and software product development.
Demonstrated knowledge of system documentation.
Demonstrated knowledge of health system in Malawi.
Demonstrated knowledge of qualitative research methods will be a plus.
Able to multi-task, be independent, well-organised, mature and able to work under time-pressure.
